Seven stages, each with a prompt you paste into Muse. It runs the pipeline with you — capturing leads, chasing follow-ups, taking payment, invoicing, delivering, handling support and processing refunds. Anything involving money asks your approval first.
Connect these first
Each connector page has its own 3-step setup. Connect read-only first, widen access once you trust it.
Capture leads
When someone reaches out through your form, phone, or Instagram, Muse adds them to your HighLevel pipeline as a new lead and pings you on WhatsApp — so no inquiry sits in a DM or a missed call you never see. You review the pipeline stages before anything goes live, and the agent never contacts the lead itself.
Paste into Muse
Set up lead capture: when someone reaches out through [your form / phone / Instagram], add them to my HighLevel pipeline as a new lead and notify me on WhatsApp. Show me the pipeline stages before you activate anything.
Follow up
Every morning at 8, Muse lists every lead with no reply in the last 48 hours and drafts a short, personalized follow-up from your last exchange — so no lead quietly goes cold while you’re busy. Nothing sends on its own: you read each draft first and approve the ones that sound right.
Paste into Muse
Every morning at 8am, list every lead with no reply in the last 48 hours and draft a short follow-up for each, personalized from our last exchange. Do not send anything — show me the drafts first.
Make the sale
Tell Muse the product and price, and it creates a Stripe payment link plus the message to send with it — turning a yes into money without invoicing software gymnastics. It confirms the amount with you before creating the link, so the number is always right.
Paste into Muse · asks your approval
Create a Stripe payment link for [product / service] at $[price], then draft the message I should send to [lead name] with the link. Confirm the amount with me before creating the link.
Invoice
For bigger jobs and repeat clients, Muse generates a proper QuickBooks invoice — client, amount, due date, and what it covers — and shows it to you before sending. Then it reminds you three days before the due date if it’s still unpaid, so nothing slips.
Paste into Muse · asks your approval
Generate a QuickBooks invoice for [client name] for $[amount], due [date], for [what it covers]. Show it to me before sending. Then remind me 3 days before it is due if unpaid.
Deliver
The moment a Stripe payment confirms, Muse emails the customer their files, link, or booking details at their address and marks them Won in your HighLevel pipeline — so buyers get what they paid for without you remembering to send it. If payment hasn’t confirmed, it does nothing and tells you.
Paste into Muse
When the Stripe payment from [customer] confirms, email them [the files / link / booking details] at [their email], then mark them Won in my HighLevel pipeline. If payment has not confirmed, do nothing and tell me.
Customer service
Muse watches your inbox for customer support emails every day: routine questions get draft replies written from your FAQ or policy doc, while refunds, complaints, and chargebacks get flagged for you instead. Nothing sends without your approval — real problems reach a human.
Paste into Muse · asks your approval
Watch my inbox for customer support emails. Draft replies using our [FAQ / policy doc]; for anything about refunds, complaints or chargebacks, flag it for me instead of replying. Send nothing without my approval.
Refunds
Tell Muse the amount, the customer, and the reason, and it processes the Stripe refund in minutes — then confirms it’s done and logs it, so there’s a paper trail instead of a to-do list item. It confirms the amount and customer with you first, so the wrong person never gets paid.
Paste into Muse · asks your approval
Process a refund of $[amount] to [customer] in Stripe for [reason]. Confirm the amount and the customer with me first, then confirm once it is done and log it.
How to run it
Do it in order the first time — each stage assumes the previous one exists. After that, run stages independently: "run the follow-up stage" or "handle refunds today." Replace every [bracketed bit] with your details before pasting.
Business workflow: questions
Starting a business workflow raises the same questions: which connectors you actually need, whether Muse will email customers or move money on its own, what it costs, and whether a non-technical owner can set it up. Straight answers below here.
- Do I need all six connectors?
- No. Start with HighLevel for leads and Gmail for follow-up — that alone fixes the most common leak, which is leads going cold. Add Stripe when you are ready to take payment, QuickBooks when invoicing matters.
- Will Muse send emails or take payments without asking?
- Not on this workflow. Every stage that moves money or sends anything external is marked "asks your approval" — Muse drafts and waits. You can loosen that later once you trust it.
- What does this cost me?
- Muse itself is free with weekly limits. The connectors are their own subscriptions — HighLevel, QuickBooks and Shopify are paid; Stripe and PayPal take a cut per transaction; Gmail is free.
- I am not technical. Can I still set this up?
- Yes — that is the point. Each connector page has a 3-step setup and every prompt above is copy-paste. If you get stuck, the 1:1 setup call gets it running with you in 30 minutes.
